Privacy Policy
Effective August 29, 2026
1. What this policy covers
This policy explains how information is handled when agencies, workers, members, representatives, and other authorized users use the Local Care software service. Agencies may also have their own privacy notices and legal obligations that apply independently.
2. Information we process
The service may process account and contact information, organization information, worker records, member records, schedules, visit and EVV information, location information, documents, billing and authorization information, communications, audit events, device or technical information, and other information an authorized user submits.
3. Sensitive and health-related information
Home-care agencies may place sensitive personal information or protected health information in the service. The agency controls what information it submits and who it authorizes to access that information. Where HIPAA or another privacy law applies, additional contractual terms such as a Business Associate Agreement may also be required.
4. How information is used
Information is used to provide and secure the service, authenticate users, operate agency workflows, support scheduling and EVV functions, generate reports and exports, process requested integrations, provide customer support, maintain audit records, prevent abuse, improve reliability, and comply with legal obligations.
5. AI-assisted features
Some features may use AI to classify documents, draft notes, summarize information, identify possible discrepancies, or assist with administrative work. AI output may be incomplete or incorrect and should be reviewed by an authorized human before consequential use. Sensitive information is processed only as needed to provide the requested feature and subject to applicable service-provider controls.
6. Service providers and integrations
We may use infrastructure, authentication, payment, identity, email, mapping, file-storage, analytics, AI, and other service providers as needed to operate the platform. If an agency connects an outside service, information may be exchanged with that provider at the agency's direction and subject to that provider's terms.
7. Data isolation and security
The platform uses organization membership, tenant-scoped access controls, role-based permissions, audit logging, and other technical safeguards designed to prevent unauthorized cross-agency access. No system can guarantee absolute security, and agencies should also use appropriate account, device, workforce, and access-management practices.
8. Retention
Information may be retained while an agency account is active and afterward as needed for backups, legal obligations, dispute resolution, security, audit requirements, or contractual commitments. Retention periods may vary by data type and applicable agreement.
9. Individual requests
If your information was entered by a home-care agency, that agency is generally the best first contact for requests to access, correct, restrict, or delete agency-controlled records. We may assist the agency with such requests when appropriate and legally permitted.
10. Changes to this policy
We may update this policy as the service, laws, or data practices change. Material updates will be communicated through the service or other reasonable means, and the effective date above will be updated.
This policy describes the platform's general privacy practices. A Business Associate Agreement, data-processing agreement, agency privacy notice, or other written agreement may impose additional requirements.
